Purpose
The purpose of this policy is to define the requirements for monitoring and calibration / verification of equipment or processes used by A2Z Services.
Policy
At A2Z Services, our level 2 and 3 managers (see Roles Responsibilities and Authorities Register (OR0002)) will determine what is needed to ensure that validated and reliable results are achieved to ensure conformity against our product and / service requirements.
We also adopt a systematic approach to the monitoring and measurement of data within the EMS to:
- Monitor the performance of mitigation / protective equipment & processes in place;
- Monitor compliance with legal and other requirements; and
- Any other monitoring or measurement requirements as a result of the EMS.
The Management Team will ensure that the right level of resourcing is available to deliver these results.
Monitoring Procedure
A2Z Services adopts a systematic approach to the monitoring and measurement of data within the QMS to:
- Monitor the performance of individual activities, projects, products and services;
- Monitor compliance with legal and other requirements;
- Any other monitoring or measurement requirements because of business practises.
To provide confidence that our systems meet and exceed our requirements, monitoring and measuring will be undertaken at regular intervals.
- Management review will identify all activities that will require monitoring;
- A risk assessment will be undertaken to assign the activities a risk rating;
- Establish a monitoring plan based on the results of the risk assessment;
- Develop the monitoring plan to monitor and measure key components of those activities, and enter all relevant information into the Monitoring Register (OR0007)
- Any Calibrated equipment used and maintained for this purpose, will be noted in the register;
- The Monitoring Register (OR0007) is to be retained on file by the relevant Supervisor/Manager, updated as required and reviewed annually.
Measurement Traceability
To provide confidence that our products and services meet and exceed our customers’ requirements, our monitoring and measuring equipment is calibrated against international, national and the manufacturers specifications and the calibration is retained as documented information in the form of records. Our company identifies the status of the measuring equipment and the equipment is protected in storage devices so that adjustments, damage and / or deterioration of the equipment cannot occur (by which the calibration is maintained).
Calibration Process
- Equipment requiring calibration will be calibrated by an approved service provider, or by trained employees;
- Approved employees will be listed in the Training Skills Responsibilities Register (OR0008)
- Approved service providers will be accredited and listed in the Measuring and Calibration Register (OR0006)
- In-house calibration will be performed in accordance with documented procedures for the calibration performed;
- The Measuring and Calibration Register (OR0006) will be maintained by Operations Manager. This Register will list all equipment, serial numbers, date of last calibration, and next scheduled calibration date. The frequency of calibration for each device will as per manufacturer’s instructions or as determined by a competent person;
- Calibrated equipment will be identified with a clear calibration sticker that includes the current status, calibration due date, and equipment serial number;
- Any equipment failing to meet calibration standards will immediately be taken out of service and repaired or replaced;
- If an item fails to meet calibration standards a Non-conformance Form (OF0007) will be completed to assess the impact on the customer and the company;
- If a customer is directly affected by the outcome of the calibration error, they will be notified immediately;
- A2Z Services will ensure that measurement results are valid however, if it is found that a piece of measuring equipment is unfit then the affected products and services will be recalled, and action taken to correct, if any, issues arising from the false measurements.
